POSITION TITLE: Event Promotion and Production Intern
JOB TYPE: A temporary position, 15-20 hours per week

Organization Summary:
Tacoma Events Commission (TEC) is an event production company that specializes in community event planning. Our focus is working with organizations and communities to produce special events that highlight their unique characteristics and commitment to their communities.

TEC is best known for producing Tacoma’s premiere event, the annual 4th of July “Freedom Fair,” but was also the group that brought the highly successful Tall Ships Tacoma 2005 to our community, as well as the Tacoma Daffodil Festival in conjunction with the annual Grand Floral Parade in April..

Position Description:
The Event Promotion and Production Intern will play a vital role in organizing a variety of events and gain valuable experience with many aspects of event production, including: marketing, vendor coordination, rental coordination, site planning, and database management. You will gain skills at TEC that will prepare you for work not only in the event planning industry, but in a variety of fields.

Position Duties and Responsibilities:
· Event promotion - Assist with various promotion efforts, including media relations, public relations, and event planning.
· Vendor relations - Work with festival vendors to coordinate logistics.
· Event logistics - Assist with coordinating various site-related logistics at event sites.
· On-site event operations - Be on site and manage assigned area during the event.
· Administrative Office Assistance - Provide both general office assistance and event- specific assistance. Tasks include: assisting with mailings and copying; assembling sponsor benefit books; creating, updating, and managing databases; corresponding with vendors interested in vending opportunities; meeting weekly with project managers for task updates; running errands as needed; assisting in answering phones and relaying messages as needed.
· Business Planning - Participate in weekly staff meetings to discuss new business ideas, strategic business plans, and general management issues.

Desirable Qualities:
· Strong written and verbal communication skills
· Experience with a variety of software (preferably the Microsoft Office suite, Photoshop, and database management systems)
· Ability to work both independently and as part of a team
· Ability to multi-task and meet deadlines
· Highly organized with excellent problem-solving skills
· Good vision and hearing for helpful computer and telephone work. The ability to lift twenty-five pounds is helpful.

JOB TYPE: Administrative, 6-40 hours per week (multiple positions available)

The Volunteer Office Manager will play a vital role in the successful production of TEC events.

Position Duties and Responsibilities:
Administrative Office Assistance - Provide general office assistance to the TEC Executive Director, board of directors and program managers.

Tasks include:
· Answering multi-line phones and operate fax machine;
· Handle inquiries and information requests, or relay those inquiries to the appropriate staff or board member;
· Operate a personal computer (MS Office, database programs preferred);
· Assist Executive Director with preparation of correspondence;
· Meeting weekly with project managers for task updates;
· Directing activities of other volunteers in mass mailings, compiling work books, etc

Desirable Qualities:
· Pleasant personality and phone manner, ability to interact cordially with the public and TEC staff and volunteers
· Ability to work both independently and as part of a team
· Well organized, with good problem-solving skills
· Good vision and hearing for helpful computer and telephone work.
